Help and information about email and email programs

So Much SPAM, what can I do to help?
• Do NOT store email on server. This dramatically increases the server's anti-virus overhead. Remove messages from server daily.
• Use a text only email program, view messages in text-only format. Do not open attachment or visit any sites you cannot manually verify by spelling out the correct domain you expect to visit.
• Intelligent Viruses cause your computer to be RBL - realtime blacklist or in other words blocked. Make sure there is no resident virus sending out copies of itself on your machine. Download Stinger or Lavasoft Anti-spyware referenced at the virus page of this site.

Sending to your list. AOL requires that each email on your list include an opt-out message stating the email address name, how the email address was aquired and it's intended use. See AOL Postmaster page for more information.

Attachments. Request to not receive attachments that you don't need. If attachments are sent to multiple recipients on the same LAN, then to save time and bandwidth, only one person needs to receive it and can post it to a common area on the LAN for retrieval.

Attachments, Forwarding. Attachments generally do not "re-attach" or carry over when you use your email programs forward or reply function. Attachments generally need to be added in fresh every time you send a message.

Attachments, Opening. For security reasons (email viruses are an active area of concern) DO NOT open any attachment unless accompanied by a personal note from a known correspondent describing the attachment. Opening an email attachment is a common way to catch a computer virus that could, besides wrecking your system or LAN, send itself to everybody in your address book.

Attachments, Size Restrictions, Receiving. There must be enough free space in your account to accept a large attachment. For business users regularly transferring files if you have not recently checked you account, it could fill with attachments inside a day. If you are not downloading files off the server it will sooner or later fill up thus diminishing you attachment receiving capability. Contact us for a larger account if this is a problem.

Attachments, Size Restrictions, Sending. Depending on the size of your account, you will have different size limits in sending attachments. Even if the sent attached file is within your size limits it may not necessarily fit through the recipient's mail system. Some of the larger ISP's such as Compuserve and AOL are limiting email attachments through their systems to under 1 MB in size.

Automatic "address completion" supported. Outlook defaults to address completion mode where it adds DNS entries to complete an email address. Explains the "www" that sometimes appears in an email address.

Bad Messages. If you cannot download all your messages: i.e. get stuck on a particular message and cannot retrieve the rest and are using Outlook, then there is a known issue which causes Outlook to get stuck on certain deliveries. We can correct this error but suggest that you maintain a copy of Eudora Pro to use to clear out the questionable message.

Delete messages large than x size. We've encountered problems with this Netscape associated feature in that it will not always or properly remove the message or attachment from our servers.

Email Primer. Any email (client) program needs as a minimum 3 fundamental pieces of information to connect to an email account:
    a. SMTP/POP3 Servers: The "machine" on which the account resides
    b. Userid: Each account has a user name.
    c. Password: Each user name is protected by a password.

Excel spreadsheets and other files (especially Microsoft office applications) can be quickly compressed to a fraction of their original size to greatly facilitate their transfer as email attachment.

Eudora Lite Ver. 1.5 Setup Instructions   detailed instructions
Click on the menu item TOOLS/ Options / Getting started.
The formula is POP3Userid@POP3Server where it asks for POP account.
Enter your name as you would want your correspondents to see it, Click to Personal Information and enter your return email address.
Click File/Check Mail and Enter your password.
Multiple copies of Eudora Lite can be installed in different subdirectories on your machine, each with separate identities.

Eudora Lite Ver. 1.5 is simply the most rock-solid email client we are aware of operating under Windows. It has not lost a single message through years of intense usage conditions and no other program comes close to its operational capability in terms of clearly showing you what it's doing as it is retrieving & sending messages, displaying meaningful informational prompts and flawlessly handles retrieval of messages off of server.

Eudora Pro Ver 4.2 Setup Instructions
Right Click on "Dominant" on left hand side of screen and follow the Wizard instructions or check "Skip directly to advanced account setup" to input login information. Each email address personality should have it's own new account created. Do not try to use "Dominant" as one of your accounts.

Click File/Check Mail and Enter your password.

Forwarding. Forwarding accounts simply transfer email from one name to another through our servers. There is no message storage, login or vacation message capability.

HTML capable email programs generally default to generate HTML code when sending email. This looks awful on non-HTML capable email client programs and more than doubles the size of each message. There are a great many non-HTML compliant email programs in use so we recommend setting your program to not auto-generate HTML code with each email you send unless needed. If you want to see what all that code looks like on a non-HTML based email client, send us a message with a few lines in it with a fax number and we'll fax it back.

Importing Address Books in Eudora (ver 4.1 and up) Visit this link for instructions on how to import your Outlook Express, Outlook 98 or Netscape Messenger 4.0x mailboxes/address books into Eudora Pro.

"Leave mail on server" option This option available in most email programs, leaves the message in your account storage area as well as downloading a copy to your computer. Useful for Notebook or remote access. However, if you don't occasionally download and remove your messages to your base machine they will accumulate on the server.

Mail relaying restriction. A necessary precaution. Our servers are protected from unauthorized use as bulk transfer points.
In extenuating circumstances you can use the SMTP server specified by your connection provider in your email program configuration settings.

If you do not have or were not supplied an SMTP server or receiving messages citing "mail relaying" difficulties then email ken@iacl.com with brief description of the problem.

Microsoft Outlook. We have years of supporting customer's Outlook and Outlook Express email clients. Most times the account related settings you need to adjust are in Tools/Accounts/Mail tab or in Tools/Options.

Microsoft Outlook Security. Outlook is tied in with Internet Explorer's Security Zones. In Internet Explorer (IE) bring up Tools/Internet Options/Security and move the slider to "high" or click on "custom level" and disable or set to "prompt" various technologies and scripting manually. You can always restore to defaults later but these are the primary manual controls for security in Outlook (and IE) against the many, many Outlook targeted viruses that might otherwise insinuate themselves onto your system (some without any action on your part).

Netscape Messenger 4.7 Email Setup:
Start/Programs/Netscape Messenger then click on Edit/Preferences & effect settings under "Mail & Newsgroups" on the left side of the screen. Note: POP3 Userid is entered by clicking "edit" in the POP3 Mail Server area.
Netscape Messenger is a simpler and cleaner interface to use than Microsoft Outlook.

Netscape Navigator 4.0 Email Setup:
In Netscape Navigator click on the menu item Communicator/ Mailbox messenger.
Once the Messenger window comes up Click on Edit / Preferences
Fill out the fields under Mail & Groups / Identity.   Click OK.
In Mail & Groups/ Mail Server enter in your Userid, Outgoing SMTP server and Incoming POP3 Server.   Click OK.
Go to the Menu Item File / Get Messages / New and enter your password.

Outlook Winmail.dat attachment (TNEF):
Outlook uses a proprietary attachment method for transmitting file attachments and Outlook-specific formatting information.
To turn off TNEF: (In Outlook)

1.On the Tools menu, click Options, and then click the Mail Format tab.

2.In the Send in this message format list, click to select
Plain Text or HTML, and click OK.

Queuing. In the event the recipient's machine, server or computer is unreachable our system attempts to resend every hour for 24 hours before notifying you that the message was undeliverable. Out and out bad email addresses generate an error message within a few minutes.

Passwords and userids are case sensitive.

PO3 email login accounts are are accessable from anywhere on any type of connection.

Return Address Rewrite. The "From" line. Control of how this appears is left to the control of your email program.

Return Receipt. We allow passage of "return receipt requested" email message headers so they should pass through but at present do not actively support this technology.

Spam. Fight Spam (unsolicited mail) by not leaving your email address at websites, also, use discretion in asking to recieve posts, info, newsletters and product updates. Select only those for which you have a genuine interest. With blatent Spam we advocate an "ignore and delete" policy. Contacting the sending party for removal purpose usually doesn't work and only ends up generating yet more network traffic.

Timouts. Long downloads can cause your email program to time-out. Check your email program's timout settings.

Transfers. Your account can transfer up to its size settings. Other networks such as AOL (450 KB) impose restrictive transfer limits.
